Dear Irvine School of Music families,
Congratulations to all performers selected to perform at the famous Carnegie Hall in New York City! What an honor it is to have such a great group of friends and families to join us in this spectacular moment. It’s going to be such an amazing show and we cannot wait!
Our goals for this trip are to gain experience for all of our performers, create lasting memories, and represent Irvine School of Music in the best way imaginable.
Reminder: all families/performers are responsible for their own travel and lodging arrangements. Suggestions will be provided.

Suggested Travel Window: July 29 – August 1, 2026 (or later)
- Wed, July 29 – Suggested Latest Arrival in NYC.
- Thu, July 30 – Day to experience NYC.
- Fri, July 31 – Rehearsal and Performance at Carnegie Hall!

Venue Arrival on 7/31 for concert:
3 PM arrival for mandatory rehearsal; 6:45pm – 7pm sharp for concert. (1 Hour before 1st performance).
We will update you of any same day time changes – please keep all day open for rehearsal and concert!

- MORNING – Eat a healthy breakfast and rest with minimal site seeing. Maybe a morning walk to get some exercise in.
- 12 PM – Eat a good sized lunch as the event will run into the later part of the night. (Approx. 10-11 PM – Eastern time 🙂) Prepare for Rehearsal.
- 3:00 PM Arrival for rehearsal at student entrance on 56th Street. (ISM Staff will be at the door)
- 3:30-5:30 PM Rehearsal (NO PARENT ACCESS. YOUR 4 ISM REGISTRATION TICKETS WILL BE GIVEN AT DROP OFF.) Formal attire required at this time for media purposes.
- 5:30pm-6:30pm quick meal break Performance
- 6.30-6.50 PM – Arrive at Carnegie Hall at the back door entrance for student entrance and ticket pick up.
- 7 PM SHARP CALL TIME! Parents drop off performers at student entrance. Please do not be late to this as the doors will lock shut. If tardy, contact Kyle @ (714) 514-9175 immediately.
- 7-7:30 is additional rehearsal/photography time for students and staff ONLY 🙂 Parents can enter at the front door with tickets and ascend to the Jacob’s room for pre-show beverages and snacks.
- 7:30 PM – Doors Open for show! Parents / Audience admitted into Weill Recital Hall for seating.
- 8:00 PM – Show Starts!
Sat, Aug 1 Free day / Personal celebrations on your own!

Performance start time – 8pm
Dress rehearsal details – Walk-thru of performance order & last minute preparations.
- Wear formal concert attire in black, navy, charcoal, or other deep solid colors like green, purple, red.
- The stage is cream/light-brown wood so avoid colors like white, tan, yellow, orange.
- Dress shirts, blouses, dress pants, long skirts, dresses, suits, and blazers are all acceptable. Avoid short skirts.
- Wear comfortable dress shoes or low heels that allow safe walking and performance on stage.
- Absolutely NO – athletic wear, jeans, sweats, shorts, sneakers, flip-flops, and clothing with logos or graphics.
- Choose attire that allows full freedom of movement at instrument and does not restrict breathing or posture.
- Avoid bulky sleeves, oversized jackets, or accessories that may interfere with your instrument or technique.
- Keep jewelry minimal and simple to prevent distractions and accidental contact with instruments.
- When in doubt, all-black concert attire is the preferred and safest choice.
- Represent Irvine School of Music with professionalism, courtesy, and respect at all times.
- Follow all instructions from ISM staff, teachers, venue personnel, and Carnegie Hall staff promptly.
- Remain quiet backstage and during rehearsals to help maintain a focused performance environment.
- Show respect for fellow performers, their instruments, and personal space.
- Keep phones TURNED OFF and put away during rehearsals, performances, and backstage activities.
- Do not run, horseplay, or engage in disruptive behavior anywhere in the venue.
- Maintain a positive attitude and support fellow performers throughout the event.
- Leave all performance, rehearsal, and backstage areas clean and tidy
- Arrive at all rehearsals, check-ins, and performances at the scheduled time or earlier.
- Allow extra travel time for New York City traffic, transit delays, and security procedures.
- Be fully dressed, performance-ready, and having used restroom before rehearsal call time.
- Have all music, instruments, accessories, and materials prepared before arrival.
- Notify ISM staff immediately if an unexpected delay or emergency occurs.
- Remember that late arrivals may miss rehearsals, staging instructions, or performance opportunities.

Carnegie Hall Photography/video policies:
ABSOLUTELY NO PARENT OR STUDENT VIDEO OR PHOTOS ON CELL PHONE DEVICES DURING THE SHOW
YOU WILL BE ESCORTED OUT OF THE FACILITY IF YOU RECORD ANY PORTION OF THE PERFORMANCE.
Students may practice pieces backstage in soundproof rooms ONLY by staff supervision.
Parent audience entry procedures:
- Main Entrance for Weill Recital Hall for general audience and parents will be through glass doors where there will be security and ropes in the front set up by the venue staff. THIS ENTRANCE IS ON 57th STREET.
- Enter, drop tickets at the box office on the left, and there are stairs/elevator for access to the Jacobs Room for pre-concert reception that the venue staff will guide you to. Doors for the Weill Recital Hall will OPEN 30 minutes before the start of the show. Please wait patiently as final minute rehearsals may still be happening. NO PEEKING 🙂
- Students will be separated from parents during rehearsal and the entire concert including intermission as we want to maintain professionalism, elegance, composure, and anticipation to provide family and friends with a show to enjoy and remember for a lifetime.
